PATHSFEST Planning

PATHSFEST: TODO:

5/7/08:
Auto Collision is the only program that won’t be participating in PATHSFEST. Rec/Marine, Carpentry and TeleCom need to be finalized.

- We need to find the bright yellow “EVENTS STAFF” shirts from 2 PATHSFESTs ago.
- We have a “jester” for the day, Val’s student.
- Press release went out last Thursday.

We need to figure out how many things are on the first floor.

Next Wednesday: invite Gail and Jill to come to AARAT to talk about how to check kids in on PATHSFEST day. It will be done on the computer.

Need to wear name tags? Jane will pick up a pack for the registration table.

We handed out posters: 3 for each sending school + some around town. posters should be up during Awards Day and Graduation as people are walking in.

We will (if it’s OK with the awards/grad committee) project a copy of the poster on the NEC projector during the awards ceremony.

Dave, Val and Diane will work on mapping out who will be where on the first floor in Building A.

Because Mark’s students aren’t participating, there will be work going on in Building B and potentially visitors walking through without safety glasses on. How do we deal with this liability issue?

Invite Cathy next week so we can talk about Hospitality and whether her kids would be interested in leading tours.

Door prizes: cafe slips. Also: mail to staff to ask about donating door prizes. Phil will do this. First session drawing will be at 9:00 and second session at 12:00 (because some prizes will be cafe order slips).

Classes (and visitors) should be back in classes by 10:00 and 1:00. We will announce these times over the intercom.

Val will write up the attendance sheets and instructions, and expectations about locking down areas, etc.

Val will write up the list of visitor expectations.

Val will work on event calendar.

Vicky will let Derek know what’s going on with PATHSFEST.

4/30/08:
Plan for visitors:

  • visitors register
  • maybe go to orientation together (where?? John??)
  • Sign kids up by school. We need people to do the registration table (2 Ed. Techs) + hospitality students
  • teachers take visitors’ attendance also, and reconcile with reg. table
  • we send list of students who visited to the sending school
  • need: door prizes - who can we call about donations? Cafe gift certificates?

What’s going on:

  • unified area vs. individual areas:
  • plant sale (inside, 1st floor)
  • woodworking display
  • early childhood is in early childhood room
  • masonry: selling fire pits in own area + pizza (outside)
  • spark plug challenge in automotive
  • pipe threading in plumbing
  • older americans’ month: display for PSS in 1st floor hall
  • health science: in area
  • culinary: cupcake decorating
  • craft area in the 3rd floor hallway (art + fashion)

TO DO:

  • signage on the stairways and promo signs for different programs (commercial art)
  • maybe promo spots on the monitors downstairs
  • clown for the event? Val’s student?

For next time:
Vicky will give 1,000 post cards to Dave Nichols.
Val will ask Ellen about labels.
Val will make labels.
Phil will ask admin. if they will pay for envelopes and stamps
Dave B. will talk to Henry about a press release to all the papers
Dave N. will ask Chef to ask about Northfield Green residents coming to PATHSFEST
Val & Dave will do the poster.

4/16/08:

  • Lines to lead us to different rooms for PATHSFEST? Capitol Area has lines on their walls to do this.
  • 8th graders may not come to PATHSFEST (Rodney Richards says they’d rather do exploratory). Can we send e-mail to parents anyway? Can John ask principals form Lincoln, King and Moore if it would be OK to send e-mail to parents?
  • It will take a couple of days to get the pads of postcards done and stuck onto the poster. Posters due 5/1.
  • Also due by 5/1: list of addresses from Brian of students who have visited. (Valerie e-mailed Brian for these)
  • Make the visitor invitation have an “admission ticket” for a raffle.
  • Issue: we have a split between “unified area for PATHSFEST” and “individual areas”. Can we do both?
  • Music will set up out front (we hope) if the weather is nice, and be inside in the hall if the weather is yucky. Vicky will talk to Dana and Brian.
  • Could Fashion students use Vicky’s window for modeling?
  • Information table with pictures of everything going on. A “meet and greet” table, with sign-in, raffle, etc., have guides from Hospitality there.
  • Get in touch with Building A people not in our cluster to see whether they can participate and whether they want to be in the 1st floor hall or in their own areas.
  • What about food?

New stuff (4/9/08):

  • call middle schools and invite 8th grade teachers/students (John M.)
  • if possible, e-mail 8th grade parents with an invitation. (Phil will ask about this)
  • make a written invitation to PATHSFEST for 8th graders to bring home to parents. (Val)
  • send letter/permission slip to prior visitors, along with a PATHSFEST post card (Val will make a letter)
  • ask John to call sending schools to notify them that more students than usual may be on to buses 5/22.
  • ask John to personally invite guidance and administration from sending schools.
  • encourage to invite advisory committees to PATHSFEST.
  • attach post cards to poster, maybe? Make them pads and stick to the posters. (Val will work on this)

Old Stuff:

  • draft an invitation letter to accepted visitors and parents (Val)
  • ask Tina to help with inviting Portland middle school students (Phil)
  • ask Shoshana to help with press release (Vicky will ask Dave B.)
  • put pictures from last year on the Web (Val)
  • give Shoshana a disk of photos from last year (Val)
  • update last year’s poster and see if Dave N. can print it (Val)
  • ask Tina to help with a Press Herald press release (with photos from John M.) (Val)
  • send e-mail to the staff asking for feedback on the date (Vicky)
  • make PATHSFEST participation survey for staff (Phil)
  • organize student steering committee (Vicky will ask Dave N.)
