Arts Academy Meeting Notes, January 16, 2008

Jill gave us an update about the ReachOut grant. We decided that we’d like a tent and we’ll seek additional funding.
We filled out more of our timeline for PATHSFEST (see details in the minutes)
We had a brief discussion about recruiting for the Dance program (and in general)
Agenda for 1/23/08:
- discuss Dance and recruitment with John M. (15 minutes)
- craft an invitation to middle schools for PATHSFEST with John M. (15 minutes)

News from ReachOut grant ($300)
Portland Partnership is giving the money for the ReachOut grant.
Jill has put that we need money for:
- advertising
- tent rental (boy scout tents? Vicky will find out)
- T shirts: leave shirts out, so Dave’s class can make money
- printing (flyers, maps & schedules)
- cost for 11×17 poster is $.60/each x 50 posters = $30.00
- door prizes to get people to fill out the surveys = $100.00
- postage
They are asking for prices for each category
Tents are really expensive, especially in May, because it’s wedding season. We will need to seek additional funding for a tent or tents.
PATHSFEST Timeline
Jan. 17th (Phil): If we’re inviting middle school students, we need to do it by the end of this week so that they can get buses. Check with Brian/Dana about middle schools.
Jan. 17th (Phil): Ask Jill about inviting guest presenters
Jan. 23rd (group): craft invitation to middle schools (John M. should be at that meeting)
Feb. 4th (Val + Dave B.): presentation to staff: introduce this year’s PATHSFEST and invite them to complete a questionnaire online or vial e-mail. In skit format! Woo!
Feb. 13th: all guest presenters have been invited
Feb. 27th (group): craft the Press Release for radio & TV
April 15th: poster completed and given to Tina
May 9th: posters up
Radio stations: WCYY, the Q? Someone on site?
Visioning:
TBD–we’ll save it for next week. Phil handed out a sheet containing the mission and vision statements, with a list of our “what does a graduating student look like?” We’ll use these next time to do wordsmithing.
Dance program: how to get more kids?
Phil talked to Dana about the Dance program. Dana wants to know what else we could do besides a video.
John doesn’t show videos during recruitment trips.
We could do a bulletin board flyer/poster for local schools. It would be good to invite John for part of our next meeting to talk about the recruitment process.
